# Export your data

> Download your invoices as PDF and XML in a zip, and your lists as CSV, for archiving, auditors or moving systems.

You can take your data out of Alya Books at any time. Invoices leave as a zip with the PDF, the PINT AE XML and embedded files; lists leave as CSV.

## Export invoices as a zip

1. Go to **Invoices**.
2. Use the chips and filters to build the view you want, for example **Reported** for a tax period, or tick individual invoices.
3. Click **Export** and choose **Zip of this view (PDF, XML, files)**. If invoices are ticked, the entry reads **Zip of N selected**.
4. Follow the dialog. The zip contains one PDF and one XML per invoice plus any embedded files. For reported invoices the XML is exactly what was submitted to Taxilla.

## Export lists as CSV

1. On **Invoices**, click **Export → CSV of this view**. The file includes number, statuses, buyer, dates, totals, paid and outstanding amounts, category, cost centre, reminder level, review, test and archived flags.
2. On **Incoming Invoices**, use **Export CSV** for supplier invoices with TRN, dates, totals, payment status and validity.

Single documents: open any invoice and use **Download PDF** or **Preview → XML**.

## Good to know

- The export only covers the current view. Archived documents are hidden from the default view; pick the **Archived** chip to include them.
- Contacts and items can be imported from CSV but do not have an export button yet. Contact support@alyabooks.ai if you need a full data extract.
- Test documents are included when they match the view; use the **Test** chip to check.
- Exports are generated in the browser; very large views take a moment.
- The API can pull the same PDF, XML and list data for automated archiving; see docs.alyabooks.ai.
