# Invite users and assign roles

> Add colleagues to your organization, choose what each role can do, and manage pending invitations.

Every organization has members with a role. The role decides what a person can create, approve or only view.

## Roles

| Role | What it can do |
|---|---|
| Owner | Everything, including removing members, billing and the two-factor requirement. Each organization has exactly one owner, created with it; the owner can hand ownership to an admin |
| Admin | Full access, but cannot make themselves or anyone else owner, or change the owner |
| Accountant | Create and edit invoices, contacts and items |
| Approver | Review and approve invoices |
| Viewer | Read-only access |

## Steps

1. Go to **Settings → Team**. Owners and admins see the **Invite Member** button.
2. Click **Invite Member**, enter the colleague's **Email address** and pick a **Role**, then click **Send Invitation**.
3. The invitation appears under **Pending Invitations** with its sent and expiry dates. Use the copy icon to copy the invitation link and share it if the email did not arrive; the X revokes it.
4. Your colleague opens the link and signs in, or signs up, with the invited email address. Alya Books brings them back to the invitation after signing in. Once accepted they appear in **Team Members** as Active.
5. To change a role later, use the dropdown in the **Role** column. Owners can remove a member with the X in the **Actions** column.

## Transfer ownership

1. Make the new owner an admin first (**Role** column).
2. As the owner, click **Make owner** in their row in the **Actions** column.
3. Type the organization name to confirm and click **Transfer ownership**. If you use two-factor login, enter a fresh code.
4. They become the owner and you become an admin. The owners and admins are told.

## Good to know

- Invitations expire; send a new one if the link stops working.
- An invitation works only for the email address it was sent to. This stops a forwarded link from giving someone else access.
- People join an organization only through an invitation. Nobody can add themselves.
- The number of team members is limited by your plan. The meter is under **Settings → Subscription**.
- Roles apply per organization. The same login can be owner in one organization and viewer in another.
- Owners and admins can grant extra rights to accountants, approvers and viewers, and limit which sections they see, through the **Permissions** column. See [Member permissions](/help/en/account-and-setup/member-permissions).
- The owner cannot be removed or made inactive; transfer ownership first. If the owner has left and cannot transfer it, Alya Books support can make an active member owner. This is recorded with the reason.
- Accountants cannot change Settings, sending settings or the e-invoicing connection.
- The same page has the **Accountant access** card (firms working for you) and, for owners, **Organization type**.
