# Order confirmations

> Confirm a buyer's order before delivery, then turn it into a tax invoice.

An order confirmation tells the buyer what you will deliver and at what price. Like a quote, it is a PDF-only document, not a tax invoice, and it can be converted into one when you invoice the order.

## Create an order confirmation

1. Go to **Documents** → **Order Confirmations** → **New order confirmation**.
2. Pick the recipient, check the number from the order confirmation series, set the date and **Valid until**, add the lines and the text blocks.
3. Click **Save**, then **Preview** or **Send by email**. Without an HTML-to-PDF service on your environment, Preview shows the printable version.

## After the buyer confirms

- **Mark accepted** or **Mark declined** from the row menu or the editor.
- **Convert to tax invoice** creates a draft tax invoice with the same recipient and lines. If the confirmation has no order reference of its own, its number is written into the invoice's order reference (BT-13) so the invoice points back to it. The confirmation becomes **Converted** and read-only.
- **Convert to proforma** works as for quotes: a draft proforma with the same recipient and lines, for an advance payment. A confirmation is converted once, into either a proforma or a tax invoice. The **Document trail** card shows the chain and its history.

## Statuses

Draft, Sent, Accepted, Declined, Converted and Cancelled, with the same meaning as for quotes. Confirmations past their **Valid until** date show "(expired)" while draft or sent.

## Good to know

- Members who can create invoices (owners, admins, accountants) can create, send and convert; delete requires the delete permission.
- Order confirmations share the editor with invoices: recipient block, lines with product picker, totals with discounts and charges, text presets, custom fields, design template and the **Templates** menu.
- The list has status chips and a search box for number or recipient. It has no CSV export; use the invoice list once the document is converted.
- A converted document keeps a link to the invoice at the top of the page.
