# Projects

> Group invoices, quotes and supplier invoices by project, follow what was invoiced and paid, and print the project code on the e-invoice.

Source: /help/en/documents/projects

A project collects everything you bill and receive for one job: invoices, quotes, order confirmations, proformas and incoming supplier invoices. Each project has a code that is printed on tax invoices as the project reference (BT-11).

## Create a project

1. Go to **Projects** in the sidebar and click **New project**.
2. Leave **Code** empty to take the next number of the project series, or type your own (for example `P-2027-014`).
3. Enter the **Name**, optionally the Arabic name, the **Customer**, the **Status**, start and end dates, a **Budget** and a description.
4. Click **Create project**.

Invoices that already carry the same code as project reference are linked to the new project automatically.

## Link documents to a project

- In the invoice editor, choose the project in the **Project** field of the header block. The project reference (BT-11) is filled with the project code; you can still overwrite it.
- Quotes and order confirmations have the same field. A converted quote keeps its project.
- Incoming invoices: pick the **Project** under **Classification** on the review page. It stays editable after the invoice is accepted. **Incoming invoices** in the project row menu opens the list filtered to that project.
- From the project list, the row menu offers **New invoice for this project** and **New recurring invoice**.

The project can be changed on issued (locked) invoices; it is an internal link and does not alter the reported document.

## Follow a project

The project list shows, per project, the number of invoices, the invoiced total (issued invoices minus credit notes), what is outstanding, the accepted supplier invoices, and the budget with a progress bar. Click a row to open the invoice list filtered by that project; the **Incoming invoices** entry in the row menu does the same for supplier invoices.

## Good to know

- Statuses: **Active**, **On hold**, **Completed**, **Archived**. Archived projects are hidden unless **Show archived** is ticked and can no longer be picked in the editor.
- **Delete** removes a project without documents; a project with linked documents is archived instead and the documents keep their link.
- The project series (default `P-{n}`) is configured like the other number series under **Settings → Outgoing invoices → Numbering**.
- Test documents and archived invoices are not counted in the totals.
- Owners, admins and accountants can manage projects; every member can view them.
- Cost centres remain available for departmental reporting; a document can have both a project and a cost centre.
