# QuickBooks Online

> Connect QuickBooks Online, pull customers and invoices into Alya Books, and push issued e-invoices back to QuickBooks.

The QuickBooks Online connector links your Intuit company to Alya Books. It pulls customers and invoices into Alya Books, and can push invoices that Alya Books has issued (submitted, delivered or accepted) into QuickBooks so your books stay complete. Only owners and admins can connect and sync.

## Connect

1. Go to **Connectors** and click **Connect QuickBooks Online**.
2. Choose **Live account** and click **Continue to QuickBooks Online**. Sign in at Intuit and pick the company. You are sent back to Alya Books with the connector marked *connected*.
3. Click **Configure** to set what the sync does: pull customers, pull invoices, push issued Alya Books invoices, the date from which to push, and the QuickBooks item and tax codes to use for pushed lines.

Choose **Sandbox (simulated)** instead of a live account to try the whole flow with sample data. Nothing is sent to Intuit.

## Sync

Click **Sync** on the connector card. Pick **Changes since the last sync**, **Everything** or **Invoices in a date range**, and switch pulling contacts, pulling invoices and pushing on or off for this run.

- Pulled customers become contacts. Alya Books matches them by TRN, then by name, so nothing is duplicated; later syncs update the linked contact.
- Pulled invoices become **drafts** with the QuickBooks number, customer, lines and VAT. Open them, check the buyer TRN and the VAT category, then validate and submit as usual. An invoice that already exists in Alya Books (same number or already linked) is skipped.
- Pushed invoices are created once in QuickBooks; Alya Books remembers the link and never pushes the same invoice twice. The result dialog lists each pushed number and any error QuickBooks returned (for example an unknown tax code).

**Test** checks that the connection still works and refreshes the token. The daily job also syncs connectors whose frequency is *daily*.

## Tax codes

Pushed lines carry a QuickBooks tax code: set the codes for 5 % VAT and for zero-rated/exempt lines under **Configure**. Leave the item empty to use the QuickBooks default item.
