Guides for Alya Books and UAE e-invoicing

    Payment methods and other currencies

Add one or more payment methods to an invoice, and invoice in another currency with an exchange rate to AED.

An invoice tells the buyer how to pay and in which currency. Alya Books prints the payment methods on the PDF and includes them in the e-invoice. For another currency than AED, the invoice also states VAT and the total in AED.

    Payment methods

    1. In the invoice editor, find Payment methods next to the payment terms.
    2. Choose the Payment method, for example credit transfer, card, direct debit, cheque or cash. The fields change with the method:
      • Credit transfer: your account from Settings → Bank details is used when it has an IBAN. Click Use another account to enter a different IBAN / account number, Account holder, BIC / SWIFT and Bank name.
      • Card: Card number (last 4 to 6 digits). Never enter the full card number.
      • Direct debit: Mandate reference and Debited account (IBAN).
    3. Add a Payment reference (for a cheque: Cheque number / reference) and Payment text if the buyer needs them. More shows extra fields such as Instruction ID.
    4. Click Add another payment method to offer more than one (up to 10).

IBANs are checked as you type. See Add bank details.

    Invoice in another currency

Choose the Currency in the meta block, for example USD. The field Exchange rate (AED per 1 USD) appears next to it, filled in with the UAE Central Bank rate for the date of supply. The totals box, the PDF and the e-invoice then also show VAT and the total in AED. See Invoice in another currency.

    Good to know

    • An invoice allows at most one card payment and one direct debit.
    • The currencies and payment methods you can pick come from Settings → Codes & regions. Nine everyday payment methods are on by default; every other official code (91 in all) is valid on UAE e-invoices and can be switched on there.
    • Codes Z01 to Z08 are official but not yet on Taxilla's list, so an invoice that uses one is stopped at validation. Alya Books support lifts this once Taxilla accepts them.
