    How incoming invoices are validated

The checks Alya Books runs on received documents and what errors and warnings mean.

Every received XML document is checked against the PINT AE business rules and against your organization data. The result is stored on the invoice and summarised in the Import log.

    Where to see the result

    1. Open the invoice from Incoming Invoices.
    2. The Validation report card at the top lists each finding with its rule code (for example BT-31) and a message. Errors are red, warnings are amber.
    3. Invoices with errors carry an Errors badge in the list and appear under the With errors chip.

    Errors

An error marks the invoice as invalid. You can still edit, accept or reject it, but the report stays on the invoice.

    RuleCheck
BT-1, BT-2, BT-5Invoice number, issue date (YYYY-MM-DD) and 3-letter currency code are present
BT-27, BT-31Supplier name present; supplier TRN, if given, is 15 digits
BT-48Buyer TRN, if given, is 15 digits
RECEIVERThe buyer TRN equals your TRN; the supplier TRN is not your own TRN
BG-25, BT-153At least one line, each with a description
BT-106, BT-110, BT-112Sum of lines equals the subtotal; VAT subtotals equal the VAT total; subtotal + VAT equals the total

    Warnings

    RuleCheck
BT-24The document does not declare the PINT AE specification
BT-31No supplier TRN (allowed only for non-registered suppliers)
RECEIVERNo buyer TRN, so Alya Books could not confirm the document is addressed to you
BT-129, BT-131Line quantity not positive; quantity × price differs from the line amount
BT-117, BT-119VAT amount differs from rate × taxable amount; standard-rated VAT is not 5 %
BT-25A credit note without a reference to the original invoice
IBR-159-AEInvoice in another currency without an exchange rate to AED; Alya Books uses the UAE Central Bank rate instead
IBR-175-AEInvoice in another currency that does not state VAT and the total in AED, or whose VAT in AED does not match VAT × exchange rate

    Good to know

    • Amount checks tolerate a difference of 1 fils for rounding.
    • PDFs and images are not validated against PINT AE. Their report only notes the AI reading confidence, a supplier TRN that is not 15 digits, a buyer TRN that is not yours, and totals that do not add up.
