Optional e-invoice fields
Extra PINT AE fields that are switched off by default, what each one is for, and how to have one switched on.
PINT AE has fields that no rule requires and most companies never use, such as a third address line, the party a delivery goes to, or item attributes. Alya Books supports them, but keeps them hidden so the invoice editor stays short. Alya Books support switches a group on for your company when you need it.
Have a group switched on
- Find the group you need in the table below.
- Ask Alya Books support to switch it on for your company, and say which group.
- Reload the app. The fields appear in the places the table names.
- Fill them in where they apply. An empty field is left out of the e-invoice.
The groups
| Group | What it is for | Where it appears |
|---|---|---|
| Address line 3 and delivery address details | A third address line for the company, customers, the tax representative and the delivery address, plus a second line and post code on the delivery and tax representative addresses. Switch on for companies whose addresses do not fit in two lines. | Settings → Company profile, the customer form, and Additional e-invoice fields in the invoice editor |
| Identifier schemes for buyer and payee | States which register the buyer's and the payee's identifier come from, as an ISO 6523 code (for example 0088 for a GLN). Switch on only when a buyer or the service provider asks for the scheme; a wrong scheme makes the identifier fail its format check. | The customer form and Additional e-invoice fields in the invoice editor |
| Payee legal registration | The legal registration number of the payee, with its scheme, when payment goes to another party than the seller, such as a factoring company. Switch on for companies that assign their receivables. | Additional e-invoice fields in the invoice editor (needs a payee name) |
| Invoiced object identifier | Identifies what the invoice is about, such as a meter number, a subscription or a vehicle, with a scheme from UNTDID 1153. Switch on for utilities, telecoms and other businesses that bill per object. | Additional e-invoice fields in the invoice editor |
| Deliver-to party and location (triangular sales) | Names the party that receives the goods when it is not the buyer, with its TRN or TIN and an identifier for the delivery location. MoF guidelines 12.2, point 12. Switch on for companies that bill one party and deliver to another. | Additional e-invoice fields in the invoice editor |
| Line references | Per line: the buyer's accounting reference, the purchase order number and line, and the despatch advice number and line. Switch on for buyers who match invoices to orders line by line. An invoice with a despatch advice on a line cannot also have one in its header. | More e-invoice fields under each invoice line |
| Percentage on line discounts and charges | Sends a line discount or charge as a percentage of the line's quantity times price, next to its amount. Switch on when buyers want to see the percentage; the amount must then equal the base times the percentage. | More e-invoice fields under each invoice line; typing a percentage fills in the amount |
| Item attributes | Name and value pairs that describe the item, such as colour: red or size: XL. Switch on for traders whose buyers need product properties in the e-invoice. | More e-invoice fields under each invoice line |
| Item price discount and gross price | Shows a discount that is already inside the unit price: the e-invoice then states the gross price, the discount and the net price. Informational only; totals are unchanged. Switch on for companies that publish list prices and bill a discounted price. | More e-invoice fields under each invoice line |
Good to know
- Nothing changes on your invoices while a group is off, and nothing is validated for it.
- In the invoice editor the document fields are in the Additional e-invoice fields card on the right, and the line fields are behind the list icon at the end of each line (More e-invoice fields).
- A field with a scheme, such as Invoiced object scheme, needs its identifier, and the other way round where the validation report says so.
- Typing a Discount % or Charge % fills in the line's discount or charge amount: quantity × price × percentage.
- A despatch advice on a line cannot be combined with the despatch advice reference of the whole invoice (IBR-092).
- When support switches a group off again, new invoices no longer offer its fields. Invoices already issued keep what they said.
- Through the API the same fields are sent as
optionalFieldson the invoice and on each item. A field whose group is off is refused with a message that names it. - These fields are not printed on the PDF; they are part of the e-invoice (XML).
