Transaction types and the fields each one needs
What Alya Books asks for when you tick Free trade zone, Deemed supply, Disclosed agent billing, E-commerce, Exports, Summary invoice or Continuous supply.
Ticking a transaction type on an invoice brings up the fields PINT AE requires for it. They stay switched on for as long as the type is ticked.
- Open the invoice. In the right panel, click Transaction type and tick every type that applies. Types switched off under Settings → Codes & regions (list Transaction type) are not offered; see Codes and regions.
- Fill in the fields that appear in the block with the number and dates.
- Click Validate & save. The validation report names any field that is still missing, with its rule number.
| Type | Fields that appear | What Alya Books does |
|---|---|---|
| Free trade zone | Beneficiary TRN or TIN | Leave it empty when the beneficiary is the buyer: the buyer's TRN, or else its legal registration, is sent. |
| Deemed supply | None | A supply without a payment (a gift, private use of stock). Ticking it clears and locks Due date, the payment terms and Payment methods, with the reason shown next to them (IBR-127-AE); unticking brings them back. The invoice is marked Nothing due, so it never shows as unpaid or overdue and gets no reminder. The buyer's Peppol address is replaced with the predefined 0235:9900000097. |
| Profit margin scheme | None | Every line switches to the VAT category Profit margin scheme, whatever its category was (standard, zero rated, exempt and so on), and that is the only category the lines offer while the type is ticked (IBR-116-AE). Lines you add, and items or bundles you pick, get it too. Unticking the type gives each line back the category it had; lines added meanwhile become Standard rated 5%. Its rate is stated (5%) but no VAT amount is shown or totalled. Add discount and Add charge under the lines are hidden, because document-level discounts and charges are not allowed (IBR-114-AE); use line discounts. |
| Summary invoice | Period start, Period end | The period is required. |
| Continuous supply | Period start, Period end, Frequency of billing | With frequency Others, explain it in the invoice note. |
| Disclosed agent billing | Principal's TRN | Required. It cannot be your own TRN. |
| Supply through e-commerce | Delivery street, Delivery city / country, Delivery emirate | All three are required. |
| Exports | Delivery street, Delivery city / country, Delivery state / region | The delivery country must be outside the UAE. A buyer without a Peppol ID gets the predefined 0235:9900000099. |
Good to know:
-
Some types cannot go together with a document kind, and their tick boxes are greyed out with the reason: an out-of-scope invoice (480) or out-of-scope credit note (81) cannot be a summary invoice, a deemed supply or a profit margin scheme supply (IBR-157-AE). Switching an invoice to one of these kinds unticks those types.
-
On an out-of-scope invoice or credit note the lines offer only Exempt, Out of scope and Zero rated (IBR-122-AE). Switching the kind to 480 or 81 moves standard-rated and reverse-charge lines to Out of scope; switching back to a tax invoice returns them to Standard rated.
-
A company that is not registered for VAT (the Registered for VAT with the FTA switch under Settings → Company profile is off and the company has no TRN) issues out-of-scope invoices (480) and their credit notes (81) only. It is identified by its 10-digit TIN, entered as the Peppol ID. New invoices start as out-of-scope invoices with out-of-scope lines.
-
More reference fields are under Fields: Sales order reference, Contract reference and value, Despatch and receiving advice, Tender or lot reference, Customs reference and Incoterms, and Buyer accounting reference.
-
A UAE buyer with neither a Peppol ID nor a TRN is sent to the predefined address
0235:9900000098(not yet on the network). Give such a customer a legal registration (trade licence, Emirates ID, passport or cabinet decision) on the contact, and send them the PDF as well. -
A buyer outside the UAE without a Peppol ID is sent to the same
0235:9900000098unless Exports is ticked, so validation warns about it (IBT-049): tick Exports for an export, or add the buyer's own Peppol ID with its scheme (for example9930:DE123456789) on the contact. See Peppol IDs for your contacts. -
Every customer needs a street, a city and an emirate (a state or region outside the UAE) in its address. A missing part blocks the invoice with rule IBR-144-AE.
-
A reverse-charge line requires the buyer's TRN (IBR-103-AE), a goods type, a GTIN and a narrative saying why the supply is reverse charged; the narrative is filled in from the goods type.
-
The VAT list of a line names Profit margin scheme even when the type is not ticked, greyed out with "Tick Profit margin scheme under Transaction type", so the category is easy to find.
-
TRNs of UAE companies must be 15 digits, start with 1 and end with 03 (IBR-132-AE).
-
Beneficiary and Principal are only sent while their transaction type is ticked. Unticking the type removes them when you save.
-
Goods and service codes on a line: click Goods / service code under the line, then choose Goods, Services or Both. Goods need an HS code, services a Service accounting code, and Both needs the two. The type is optional, and lines picked from an item take the item's code.
-
Payee and Tax representative are switched on under Fields. A tax representative needs a TRN and an address.
-
Frequency of billing can also be switched on under Fields for any invoice that has an invoicing period.
