Currency and exchange rate on incoming invoices

Where the currency and the exchange rate to AED of a received document come from and how to change them.

Each incoming invoice carries a 3-letter currency code, normally AED, taken from the document or else your default currency.

    Where the currency comes from

    SourceCurrency used
PINT AE XMLThe document currency (BT-5) from the file; AED if the file has none
PDF or image read by AIThe currency read from the document; if none is found, your default currency
PDF or image entered by handYour default currency

Your default currency is set under Settings → Tax & currency (AED, USD, EUR, GBP or INR).

Change the currency of a received invoice

    1. Open the invoice while it has the status To review.
    2. Under Header data, pick the currency in Currency.
    3. Click Save details.

On an accepted invoice the field is read-only; use Reset to draft first.

    Exchange rate to AED

For another currency, an exchange rate field such as Exchange rate (AED per 1 USD) appears next to Currency. The note under it says where the rate comes from:

    NoteRate used
From the supplier's e-invoiceThe rate in the supplier's XML (BTAE-04)
UAE Central Bank rate of (date)The Central Bank rate for the delivery date, else the issue date
Typed by handA rate a reviewer entered

Below it you see "VAT AED … · Total AED …", followed by "(supplier states AED …)" when the supplier's XML states different AED amounts.

While the invoice is a draft or in review you can type another rate and click Save details; Use the Central Bank rate of (date) switches back. PDFs and images read by AI get the Central Bank rate for the issue date.

    Good to know

    • A missing or non-3-letter currency code in an XML is a validation error (BT-5). A missing rate or AED amounts give warnings IBR-159-AE and IBR-175-AE.
    • The VAT return converts the invoice to AED at this rate.
    • Payments recorded on the invoice use the invoice currency.
    • The Payable and Accepted this month cards on the list add up totals and label them AED. If you receive invoices in other currencies, treat those cards as indicative.
