    Codes and regions

Choose which PINT AE codes appear in your pickers, pin the ones you use most, and switch on self-billing.

Every picker in Alya Books that offers a code (payment method, document kind, VAT category, unit, currency, country and more) reads from the code lists under Codes & regions. Use this page to shorten long lists to what your company uses, or to add a code your documents need.

    Steps

    1. Go to Settings → Codes & regions (group Connections).
    2. The Region card shows United Arab Emirates · PINT AE. Switch on Self-billing only if you have a self-billing agreement with a supplier: it adds the self-billed invoice (389) and self-billed credit note (261) to the document kinds.
    3. In the Code lists card, pick a list on the left, for example Payment means type code or Unit of measure (Rec 20 and Rec 21). The header shows how many codes are switched on.
    4. Use Search code or name and the filter (All codes, Switched on, Valid in PINT AE, Changed or pinned) to find codes.
    5. Use the switch on a row to show or hide that code in your pickers. Switch on shown and Switch off shown do the same for every code in the current search.
    6. Click the pin icon to put a code at the top of every picker.
    7. To undo your changes to a list, click Reset and confirm. Codes go back to the United Arab Emirates default.

    Good to know

    • The pencil next to a code gives it your own name in pickers, for example "Pieces" for H87. The published name stays visible below it, and the code sent on e-invoices never changes.

    • The star makes a code the default of its list. New invoice lines start with your default unit, and new invoices with your default payment method. Each list has one default at most.

    • Each code is marked Valid in PINT AE or Not valid in PINT AE. Switching on a code that is not valid asks you to confirm: you can use it on quotes, proformas and imported documents, but a document that uses it cannot be reported to the FTA, because the ASP would reject it.

    • Currencies: the dirham and the 76 currencies the UAE Central Bank publishes a rate for are on by default (a retired currency such as BGN stays off). Any other currency can be switched on; it is marked No Central Bank rate: entered by hand, and invoices in it ask for the rate and its source. Switch off the currencies your company never bills in.

    • Payment means: all 91 codes are valid in PINT AE, and nine everyday ones are on by default. A code marked Not accepted by Taxilla yet (Z01 to Z08) is official, but Taxilla's own list does not have it: invoices that use it are stopped at validation until Alya Books support switches on all official codes for your company.

    • Codes the UAE requires are marked Required and cannot be switched off: 380 and 381, AED, AE and VAT category S.

    • Document kinds and transaction types: switch off a kind (for example 480) or a transaction type (list Transaction type, for example Summary invoice (position 4)) your company never uses, and the invoice editor no longer offers it. A draft that already uses it keeps it: the editor still shows it, marked as switched off, so you can untick it. Documents created through the API are not limited by these switches.

    • A Changed badge marks a code that differs from the default; the number next to a list name counts your changes.

    • Units of measure: 27 everyday units are on by default out of 2,162. Switch on any other unit you need.

    • The currency picker on invoices and contacts and the country pickers for contacts and delivery addresses use these lists.

    • Only owners and admins can change codes. Other roles see the page read-only.
