Embedded files in the e-invoice XML

Attach supporting documents to an invoice and embed them in the PINT AE XML as additional document references.

Supporting documents such as delivery notes, timesheets or contracts can be attached to an invoice. Files flagged for the XML are embedded in the PINT AE document as additional document references (BG-24, BT-122 to BT-125), so the buyer and the FTA receive them with the invoice.

    1. Create the invoice and click Save draft. The Embedded files (XML) card in the right panel is available only after the first save.
    2. Click Attach and choose a file: PDF, PNG, JPEG, CSV or XLSX, up to 10 MB each.
    3. The file appears in the card with its size. Tick or untick XML to control whether it is embedded in the e-invoice; new files are embedded by default.
    4. Click a file name or the download icon to open it through a temporary link.
    5. Click the bin icon to remove a file. This deletes it from storage.

    Good to know:

    • Files are embedded as base64 inside the XML. Keep them small: large attachments make the XML large for every recipient and are stored with every submission.
    • Files with XML unticked stay attached to the invoice in Alya Books but are not part of the e-invoice.
    • On a locked (issued) invoice the card is read-only, because the XML has already been submitted.
    • Preview → XML shows the AdditionalDocumentReference entries so you can check what will be sent.
    • Export → Zip of this view on Invoices includes the XML with embedded files and, optionally, the attached files as separate files.
    • Email sending attaches the PDF and, for tax documents, the XML. Attached files are not added as separate email attachments.
    • Attachments are stored in your organization's private storage and protected by the same access rules as the invoice.
