Paid in advance, rounding and amount due

Deduct an advance payment from a final invoice, round the amount due, and show a billing period on each line.

When the buyer has already paid part of an invoice, for example through an advance invoice, the final invoice shows the full total and then deducts what was paid. The rest is the Amount due (IBT-115), which is what payments, reminders, bank matching and pay links use.

    1. Open the invoice in the editor. Below the totals, click + Paid in advance or rounding.
    2. Enter Paid in advance (IBT-113), the amount the buyer has already paid.
    3. Next to Prepayment invoice, enter the number and date of the advance invoice. It is sent as the invoice's billing reference so the buyer can match the payment.
    4. Optional: enter Rounding (IBT-114), between -0.99 and 0.99, to round the amount due, for example to a whole dirham.
    5. Check Amount due = total incl. VAT − paid in advance + rounding, then validate as usual.

To bill a line for a period, for example a monthly service, click Billing period under the line's description and pick the start and end dates.

    Good to know:

    • VAT is not changed: the VAT and the total incl. VAT stay those of the full supply. Only the amount due is reduced. On an invoice in another currency the same holds for VAT in AED and Total incl. VAT in AED; an informational Amount due in AED appears beneath them.
    • Paid in advance cannot be more than the total, and the amount due cannot be negative.
    • A due date is required whenever an amount is due. A fully prepaid invoice (amount due 0) needs no due date and counts as Paid as soon as it is saved.
    • The PDF shows Total incl. VAT, Paid in advance with the prepayment invoice number, Rounding and Amount due, and the billing period under each line that has one.
    • A line's billing period must end on or after its start. When the invoice has a period (Period start and end), each line period must fall inside it.
    • These fields are for tax invoices. Credit notes, proformas and quotes do not have them, and billing periods are not copied to proformas.
    • Through the API: prepaidAmount, roundingAmount, prepaymentInvoice and items[].billingPeriod.
