    Price lists

    Give customers or customer groups their own item prices, with validity dates and quantity breaks, applied automatically in the editor.

    A price list holds alternative net prices for your items. Assign it to specific customers or mark it as the default for everyone, limit it to a period, and the invoice editor picks the right price when you choose an item.

    Create a price list

    1. Go to Items and open the Price lists tab, then click New price list.
    2. Enter a Name, the Currency and, if needed, Valid from and Valid to.
    3. Switch on Default for all to apply the list to every customer that has no assigned list. Leave it off for a customer-specific list.
    4. Prices tab: pick an item from the dropdown and click Add; the base price is filled in, type the special price. Add the same item again with a higher Min qty for a quantity break (for example 90.00 from 1 piece, 80.00 from 10 pieces).
    5. Customers tab: tick the customers the list applies to.
    6. Click Save price list.

    You can also point one customer at a list from Contacts → Edit → Additional → Price list.

    How the price is chosen

    When you pick an item in the editor (invoices, quotes, order confirmations, recurring invoices), Alya Books looks for a price in this order:

    1. lists assigned to the customer (by ticked customer or the contact's price list), highest Priority first;
    2. default lists;
    3. the item's own price.

    Within a list the row with the highest minimum quantity that is still below the line quantity wins. Only active lists valid on the issue date are considered. A small tag under the line shows which list was used; you can still overwrite the price by hand.

    Good to know

    • Prices are net. With Prices include VAT in the editor the gross amount is shown but the list price stays net.
    • Changing the customer on an invoice does not reprice existing lines; pick the items again if the prices should follow.
    • Bundles that are split into lines price each component through the price lists.
    • Owners, admins and accountants manage price lists; the API and the MCP server offer the same lists and a price lookup for integrations.
