Categories and cost centres on invoices
Define categories and cost centres, tag invoices with them, and filter and export by them.
Categories tag invoices for filtering and reporting; cost centres assign documents to departments or projects. Both are lists you maintain once and then apply to documents.
Define the lists
- Go to Settings → Documents and scroll to the Lists card at the bottom.
- Under Categories, type a name, pick a colour and click the plus button.
- Under Cost centres, enter a code and a name and add it.
- Remove an entry with the bin icon. Only owners and admins can edit these lists.
Assign a category
- On one invoice: use the Category dropdown in the invoice header. The change is saved immediately and works on locked (issued) invoices too.
- On several invoices: on Invoices, tick the rows and choose Set category in the selection bar. Choose No category to clear it.
Assign a cost centre
Cost centres are set on incoming invoices on the incoming invoice page, and on outgoing invoices through the API or CSV import. The Invoices list filters by cost centre and includes it in the CSV export.
Use them in the list
- On Invoices, the category and cost centre filters appear next to the search box as soon as at least one entry exists. Uncategorised and None find documents without a value.
- Click View and enable the Category column to show the colour dot and name in each row.
- Export → CSV of this view includes the category name and the cost centre code.
Good to know:
- Changing a category or cost centre does not alter the e-invoice; it is housekeeping and allowed at any status.
- Categories and cost centres are shared across the organization.
- Owners, admins and accountants can assign categories; viewers see them read-only.
