Email sending settings
Set the sender name, reply-to address, default attachments and copy option used when you send documents by email.
Send by email on invoices, proformas, quotes, reminders and cover letters uses these settings. Emails leave from the Alya Books platform address; replies go to the address you choose.
Steps
- Go to Settings → Sending. Owners and admins can edit; accountants see a read-only notice.
- In the Invoice sending card:
- Sender name: shown as the "from" name, for example your company name.
- Reply-to address: where the buyer's reply lands, for example
accounts@company.ae. If empty, the contact email from Settings → Profile is used. - Default attachments for tax invoices: PDF + PINT AE XML or PDF only. The send dialog lets you change it per email.
- Send me a copy of every email by default: a Bcc to your own login address.
- Fill in the Email signature / footer and, optionally, the Own outgoing mail server (SMTP) card.
- Click Save Sending Settings.
What the send dialog offers
Opening Send by email on a document shows To (pre-filled with the contact's email or, if the contact has none, the contact person marked Receives invoices, primary first), Cc, Bcc, Subject, Message and the Attachments choice. Non-tax documents such as quotes never attach an XML.
Good to know
- The Invoice receipt card at the top of the same tab is about receiving supplier invoices by email; it is unrelated to sending.
- Every email is recorded in the Deliveries card of the document with its state.
- Reported invoices attach the exact XML that was submitted to Taxilla.
- The PDF attachment uses the document's design (or your default design) and the language chosen on the document.
- Sending is separate from FTA reporting: emailing a tax invoice does not submit it. Use Submit to Taxilla for that.
