Receive invoices at your Alya Books inbox address
Create an email address that turns supplier emails into incoming invoices.
Every organization can have an inbox address on the domain in.alyabooks.ai. Suppliers email their invoices (PINT AE XML, PDF or a photo) to that address, and Alya Books records them as incoming invoices without anyone uploading a file.
Create the address
- Go to Settings → Sending.
- In the Invoice receipt card, click Create inbox address.
- Copy the address shown, for example
your-company@in.alyabooks.ai, and give it to your suppliers.
The card shows the badge Active while the address accepts email.
Restrict who can send
- In the same card, fill in Allowed senders with addresses or domains separated by commas, for example
billing@supplier.ae, @trustedvendor.com. - Click Save allow list.
Leave the field empty to accept email from anyone.
Pause the inbox
Switch off Receive email in the card. The badge changes to Paused and incoming email is refused until you switch it on again.
Good to know
- The address uses the inbox domain of the service you sign in to, as shown in the card. Copy the full address from there rather than typing it.
- One invoice per email. An XML and a PDF with the same file name in one email are combined into a single invoice, with the PDF as the visual copy.
- Emails without attachments are refused. Emails from senders not on the allow list are refused.
- Received documents appear on Incoming Invoices with the channel email and the sender's address in the Import log tab, and the notifications bell shows "Invoice … received from …".
- The same validation runs as for uploads: PINT AE checks, your TRN as buyer, and duplicate detection.
- Owners and admins manage the inbox settings.
